About the Role

As an Administrative Assistant, you will join the People Operations team as a key supporting member for our senior Leadership Team! You will be involved in coordinating Company Events including our Formal Fridays, Outside-In speakers, and Town Halls. You will also do receptionist responsibilities including answering phones, greeting guests, and assisting our Office Manager as needed. Responsibilities:

  • Number Cruncher: Manage/Maintain expenses for Leadership Team
  • Logistical Wizard: Coordinate travel/logistics (lodging, transportation, etc.) for Leadership Team
  • Meeting master planner
  • Coordinate meal planning (pre-planned as well as last minute as needed)
  • Manage CEO’s calendar
  • Potentially attend leadership meetings and take meeting minutes
  • Assist Office Manager with Company events
  • Support Office Manager as back-up
  • Administration efforts
  • Arrange calls and logistics for meetings
  • Front Desk Traffic Controller: Greet Visitors, Vendors, Employees
  • Other projects and miscellaneous tasks as needed

Qualifications:

  • Bachelor’s degree or relevant work experience
  • Previous experience as an executive assistant, office manager, administrative assistant, or in other related fields is strongly preferred
  • Ability to prioritize workload and self-manage projects, handle multiple tasks, and meet deadlines
  • Experience supporting business development, engineering, technical, and design teams
  • Strong analytical and conceptual thinking skills
  • A detail oriented individual with strong problem-solving and decision-making skills
  • Energetic, hard-working, competitive and open-minded – someone who can’t wait to beat every goal they are handed
  • Strong organizational skills as well as strong attention to detail
  • Tech savvy – very comfortable with digital technologies (google docs, spreadsheets, the interwebz) and demonstrated ability to create reports and analysis
  • Ability to prioritize and multitask
  • Excellent interpersonal, verbal, and written communication skills
